Head of Projects and Administration

Established in 2003, JustWorld was founded to provide equestrians with a way to help fracture the cycle of poverty by supporting carefully vetted education, healthcare and nutrition programs for children around the world. Thousands of ambassadors from more than 40 countries have since committed to “ride for the cause” and assist in a variety of ways to support JustWorld in accomplishing its mission. Equestrian-based companies and events worldwide support JustWorld’s efforts, and the governing body of the global equestrian sport, the FEI, has endorsed JustWorld by declaring the organization as an official charity partner. In 2022, JustWorld is helping improve the lives of nearly 10,000 impoverished children around the globe on a daily basis.

JustWorld International is a 501(c)(3) charitable organization in the United States and tax-deductible donations are accepted in the United States. JustWorld International has no political or religious affiliation.

Executive Summary

Reporting to the Executive Director (ED), the Head of Projects and Administration serves on the leadership team of the organization. This position has two primary base pillars: as the Head of Projects you will oversee the management of JustWorld International’s projects and as the Head of Administration you will ensure the effectiveness of the organization’s financial functions and you will excel in managing the day to day operations with a strategic mindset.

Together with the Executive Director, the Head of Projects and Administration plays a key role in developing and executing organizational processes, policies, responsibilites, an efficient report structure and best practices that guide JustWorld International to achieve its mission. You will be involved in planning, evaluation, and professional development initiatives, as well as the mentoring of new team members. 

Responsibilities by Function

Financial Management

  • Working together with the Executive Director to determine the annual budget and develop revenue planning process in order to ensure the continuous growth of the organization.
  • Manage, analyze and report on monthly and quarterly assessments and forecasts of the organization's financial performance against financial and operational goals.
  • Oversee short and long-term financial and managerial reporting, monitor progress and changes and keep the senior leadership abreast of the organization’s financial status.
  • Manage day-to-day processing of accounts receivable and payable and producing reports as requested.
  • Reconcile monthly activity with the Bookkeeper to generate year-end reports, and fulfil tax-related requirements.
  • Working together with the Head of Fundraising and Development to maintain, develop and monitor all fundraising and accounting systems and procedures. Capturing all pledges, billings, and receipts and for the recording of all revenue transactions, recommend and implement strategic improvements to the current system.
  • Prepare all materials for annual audit/990 filing: annual questionnaire and required documents list, variance testing, management review, fraud testing, and internal controls. Liaise with external auditors and the Executive Director; Finance Committee of the Board; assess any changes necessary.

Project Management

  • Making sure all recurring project related payments are on time and the proof of payment is well organized, handed over to the bookkeepers.
  • Working together with the Project and Program Manager to make sure all our existing project partners comply with reporting on a Monthly, Quarterly and Annual basis while following the MOU.
  • Working together with the Project and Program Manager to develop and execute an efficient reporting process for the JustWorld International Project Partners, which is in line with the organization’s annual reporting and financial responsibilities.
  • Together with the Executive Director and the Project and Program Manager always look out for new project opportunities and expansion, which supports the strategic growth and development of the organization.

Human Resources and Operational Excellence

  • Manage human resources and regulation compliance regarding administrating payroll, compensation, holidays, health insurance, per diem and other benefits.
  • Collect and manage new participant, volunteer and staff information, renewals and annual updates.
  • Manage employee Credit Card payments together with the Bookkeepers.
  • Manage and increase the effectiveness and efficiency of support services (HR, office management, and financial record keeping) through improvements to each function as well as coordination and communication between support and program functions.
  • Working together with the Executive Director, develop staff capability, manages performance with consistency and adherence to high professional standards, and engenders program staff commitment to strategic, day-to-day, and teaching priorities. 
  • Contribute to short and long-term strategic planning to develop and maintain organizational policies.
  • Participate in coordinating, managing and administering fundraising and other special events. 
  • Manage service provider agreements. 
  • Maintain JustWorld International’s archival and administrative files.

Risk Management

  • Oversee organizational insurance needs including coverage, renewals, audits, and requirements.
  • Oversee compliance with government, regulatory, accrediting and licensing guidelines.
  • Monitor safety and liability issues and advise the Executive Director with optimal procedures to minimize risk.

Position Requirements

Education

  • BA (MA is a plus) college degree in business and management, business administration or equivalent work experience

Knowledge & Experience

  • Demonstrated experience in financial management.
  • Experience in working with and understand QuickBooks and reports.
  • Excellent computer skills and proficient in Excel, Word, Outlook and Access.
  • Excellent communication skills both verbal and written.
  • Excellent interpersonal skills and open to direction and collaborative work style and commitment to get the job done. 
  • Experience with nonprofit audit, tax, compliance, budget, and resource development.
  • Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems.
  • Demonstrated leadership and vision in managing staff and major initiatives.
  • Ability to delegate responsibilities effectively, attention to detail and follow up.
  • High comfort level working in a flexible and dynamic environment.
